Tracking your students' property searches

3 min read · Updated 2026-10-19

Client searches shows every search you have set up, read straight from our desk. You see the same picture your student sees — their cities, the properties we have brought them, what they said about each one, and every update we post — so the answer to "any update?" is always on this page.

Reading a search

Each student gets one row. From top to bottom it shows:

  • Student and market — their name and main city.
  • Stage — where the search is up to (see below).
  • Budget, dates and payer — the rent range they gave us, their move-in timing or "dates flexible", and either "you pay" or "they pay".
  • Cities — each city they are searching, with anything that city narrows on (for example bedrooms) in brackets.
  • Brief changes — if your student edits their search, you see "Your student updated the brief on" followed by the date, so you hear it from us rather than from them.
  • Updates from us — the notes our team posts, word for word the same as your student reads.
  • Properties we've brought them — each candidate with its address, a View the listing link where we have one, and your student's answer: "they like it", "they passed" or "no answer yet".

The stages

  • Submitted — we have their search and are reviewing it.
  • Out with our network — the search is in front of the people who source properties.
  • Being worked — someone is actively working it.
  • Found — held for you — we are holding a property that fits. It is held off the marketplace for your student.
  • Revealed — the address and owner details have been unlocked.
  • Toured, Placed and Closed — the search has moved on past the reveal.
  • Not taken on — we could not take the search on. The reason is shown, and nothing was charged.

When a property is held

While a property is held you see its shape — a summary, the area, whether it is inside your student's budget, and whether it is approved for subleasing in writing — but not the address.

  • If you are the payer, an Unlock the address button shows the fee. Paying it takes you to checkout, and once paid the row shows the address plus the owner's name, phone and email.
  • If your student is the payer, the row says "Waiting on your student to unlock it."

The approved badge rule

On the list of properties we have brought your student, the word approved only appears after a deal on that search has been paid. Until then, no candidate is marked either way — approved or not, they look the same.

This is deliberate. Finding out which property the owner has approved for subleasing in writing is the work being paid for, so neither you nor your student sees it early. You are held to exactly the same rule as your student, never a softer one.

Good to know

  • You never see the rates we post to our network, our budgets, or anything about who is sourcing. You choose the payer; we handle the rest.
  • When your student is the payer, you are never shown what they paid.
  • Students can add, remove or change cities themselves. That does not restart the search — our team sees what changed and works from the new version.
