How to build a client intake flow

3 min read · Updated 2026-10-19

A flow is a guided, step-by-step page you send to a new client. In one link they can read about your service, fill in their details, sign your agreement, pay, and book a call. Everyone who completes a flow shows up in your Leads list.

Create a flow

  1. Open Flows in the Builder sidebar.
  2. Click Create your first flow (or create a new one if you already have some).
  3. Give it a name, such as "New co-host client intake".
  4. Choose Start from a template — each template shows its description and how many steps it has — or build every step yourself from blank.
  5. You land in the flow editor.

Add and edit steps

Add steps in the order your client should see them. The step types are:

  • Website intro — a welcome screen with your intro copy and a button label.
  • Form — collect details. Add fields such as name, email, phone, a paragraph or a dropdown, and mark which are required.
  • Agreement — your service agreement text, which the client signs inside the flow.
  • Invoice — an amount and a description.
  • Payment — an amount in US dollars, a description, the processor, and whether it charges once or every month or year.
  • Calendar booking — send the client to a booking link, such as Calendly or GoHighLevel.
  • Video — embed a video.
  • Checklist — a list of next steps.
  • Redirect — send the client to another page when they finish.

Publish and share

  1. Click Publish. The status changes from "Draft — not live yet" to "Published".
  2. If anything needs your attention, a "Published — but read this" note lists it. For example, you will be reminded if you have not connected your own email yet.
  3. Copy the client link from your flow list and send it, or point one of your domains at the flow from Site, then Domains.

After edits, click Republish to put the new version live.

See who came through: Leads

Click Leads on the Flows page. It lists everyone who completed one of your published flows, with their name, email and phone. If you have several flows, filter by flow.

  • A Signed badge means they signed your agreement in the flow. Open it to see the exact terms they agreed to and whether a copy was emailed to them.
  • Payments made through the flow show their status, including Payment failed when a card did not go through.

Payments go straight to you

Payment steps charge your client on your own connected payment account, not Zi-Find's. Connect Stripe in Builder settings before you publish a flow that takes payment. For monthly or yearly payments, your payment processor handles retries and failed-card emails under your own account settings.

Good to know

  • Connect your email in Settings so agreement copies and replies come from your own address. If it is not connected, the lead record tells you no copy was emailed.
  • Deleting a flow cannot be undone.
  • The agreement in your flow is between you and your client. Zi-Find is not a party to it, and you should have it reviewed by a professional you trust.
